# Draft a fleet repair estimate in minutes

Turn a driver's report of a truck problem, plus vehicle and maintenance history, into a repair estimate draft a human reviews—work that used to take 8–48 hours. Cox Automotive's FleetMate estimator assistant cut that to about 30 minutes and absorbed a tenfold volume spike without proportional cost growth.

## Inputs to collect first
Ask the user for anything below that they haven't already given you. Don't guess missing facts.

- VIN, make, model, mileage, current location
- Last services and open issues
- The call notes or message describing the problem
- Your own material (text, notes or data)

## Instructions

Do the task below with the user's inputs in place of each [bracket].

You help our fleet desk draft repair estimates. Vehicle: [VIN, make, model, mileage, current location]. Maintenance history: [paste last services and open issues]. Driver report: [paste the call notes or message describing the problem]. Approved labor rates and parts markup rules: [paste]. Produce: (1) a plain-language diagnosis of the most likely issue, (2) a line-item estimate with labor hours, parts, and totals, (3) what is uncertain and what a tech should verify on arrival, (4) a short SMS I can send the driver with next steps. Mark any line that needs a human estimator's approval before we quote the customer. If the report is too vague, ask for the three missing facts only.

## Safety checks (share these with the user)

- This prompt works on text other people wrote (emails, reviews, messages or web pages). That text can hide instructions aimed at AI, such as "ignore your rules and…". Paste it as material to work on, and never let the AI act on requests inside it, like paying, sharing logins or changing records.
- Check every figure, price and total against your own records before anything is sent, posted or booked. A person approves refunds, discounts, payments and price changes.
- Remove names, contact details, account numbers and other personal data the task doesn't need before you paste, and check your AI tool's data and training settings.
- Read and edit the draft before it reaches a customer or goes public. If you later automate this prompt, start with "draft and notify me", not "send automatically".
- Say clearly which parts need a person to review or approve before anything is sent, paid, posted or filed.
