# Rebuild a day you forgot to track into ready-to-approve timesheet entries

Freelancers and agencies lose billable hours every week simply because they forgot to start the timer. An AI assistant can piece the day back together from your calendar, task updates, sent emails and file activity, then propose time entries for you to approve before anything is logged or billed. MonoDesk, the freelancer workspace Envato promoted on Oct 22, 2026, has a Co-Worker "Log my time" shortcut that reconstructs a forgotten day from your tasks, schedule and activity and proposes entries you approve one by one.

## Inputs to collect first
Ask the user for anything below that they haven't already given you. Don't guess missing facts.

- That day's meetings and events
- Tasks completed or updated, with times if shown
- Sent emails/messages subject lines with times, files edited, commits…
- Toggl / Harvest / Clockify / my invoice
- Your own material (text, notes or data)

## Instructions

Do the task below with the user's inputs in place of each [bracket].

Help me rebuild my timesheet for [date]. Here's what I have: Calendar: [paste that day's meetings and events]. Tasks: [paste tasks completed or updated, with times if shown]. Activity: [paste sent emails/messages subject lines with times, files edited, commits or anything else with timestamps]. My clients/projects: [list]. Do this: 1) Build a timeline of the day from start to finish in 15-minute blocks, and say which evidence each block is based on. 2) Turn it into proposed time entries: client, project, task description (client-friendly wording), start, end, duration, billable yes/no. 3) Mark any gap longer than 30 minutes as "unknown" and ask me what I was doing. Don't fill gaps by guessing. 4) Flag entries you are unsure about with a short reason. 5) Total billable and non-billable hours per client. Give me the entries as a table I can paste into [Toggl / Harvest / Clockify / my invoice]. I'll approve each one before anything is logged.

## Safety checks (share these with the user)

- Check every figure, price and total against your own records before anything is sent, posted or booked. A person approves refunds, discounts, payments and price changes.
- Check hours, breaks, overtime and any rules for young workers against your local labour law and staff contracts before you publish a schedule.
- Remove names, contact details, account numbers and other personal data the task doesn't need before you paste, and check your AI tool's data and training settings.
- Check names, dates, numbers and any claim against your own source material before you use the answer. AI can misread or invent details.
- Say clearly which parts need a person to review or approve before anything is sent, paid, posted or filed.
