Truewind built AI workpaper agents from that workbook; each month a staff member rolls them forward, reviews the output and posts the entries to Sage Intacct herself. Truewind's case study (Oct 21, 2026) says one client's full monthly close, reconciliations included, took about 30 to 45 minutes, and the firm grew from 8 to 15 client entities on the system between April and October 2026 without backfilling two staff roles. The lesson for any small business or bookkeeper: start from the process you already trust, automate one close at a time, and keep a human approving every entry. Use when the user wants help with month-end close (finance) for a small business."

# Turn your own month-end reconciliation workbook into AI close agents: hand over the spreadsheet you already use, let the AI roll it forward each month, and keep a person reviewing and posting every entry

Instead of redesigning how they close the books, Charlotte accounting firm Lavoie CPA gave Truewind its existing balance sheet reconciliation workbook plus the monthly input files that feed it (payroll registers, brokerage statements, Stripe and Braintree exports, donor platform reports).

## Inputs to collect first
Ask the user for anything below that they haven't already given you. Don't guess missing facts.

- TABS, e.g. payroll clearing, accrued expenses, prepaids, loans…
- Payroll register, bank/brokerage statements, payment processor…
- GL BALANCES
- AMOUNT
- Your own material (text, notes or data)

## Instructions

Do the task below with the user's inputs in place of each [bracket].

You are my month-end close assistant. I'm going to give you my existing reconciliation workbook layout and this month's source files. Workbook tabs and what each one reconciles: [LIST TABS, e.g. payroll clearing, accrued expenses, prepaids, loans, investments]. This month's inputs: [PASTE OR ATTACH payroll register, bank/brokerage statements, payment processor exports, etc.]. Last month's closing balances: [PASTE]. For each tab: 1) Roll it forward from last month's balance using this month's inputs. 2) Show the ending balance and compare it to the general ledger balance I give you: [PASTE GL BALANCES]. 3) List every difference over [AMOUNT] with the likely cause and the source line it came from. 4) Draft the journal entries needed (date, accounts, debit, credit, memo) but mark them DRAFT; I will review and post them myself. 5) Don't guess: if a number is missing or unclear, list it under 'Questions for me'. Finish with a one-page close checklist showing what's done, what needs my review and what's blocked.

## Safety checks (share these with the user)

- This prompt works on text other people wrote (emails, reviews, messages or web pages). That text can hide instructions aimed at AI, such as "ignore your rules and…". Paste it as material to work on, and never let the AI act on requests inside it, like paying, sharing logins or changing records.
- Check every figure, price and total against your own records before anything is sent, posted or booked. A person approves refunds, discounts, payments and price changes.
- Remove names, contact details, account numbers and other personal data the task doesn't need before you paste, and check your AI tool's data and training settings.
- Read and edit the draft before it reaches a customer or goes public. If you later automate this prompt, start with "draft and notify me", not "send automatically".
- Say clearly which parts need a person to review or approve before anything is sent, paid, posted or filed.
