# Build the one-page fact sheet your AI receptionist answers from, and the list of things it must never say

Most bad AI phone answers come from missing or outdated facts, not from the AI itself. This prompt interviews you and turns your answers into a short, structured fact sheet (hours, services, prices, service area, booking rules) plus a 'never say' list, ready to paste into any AI receptionist, chatbot or answering service.

## Inputs to collect first
Ask the user for anything below that they haven't already given you. Don't guess missing facts.

- Type and name

## Instructions

Do the task below with the user's inputs in place of each [bracket].

Interview me to build the fact sheet my AI receptionist will answer from. My business: [type and name]. Ask me questions one section at a time, waiting for my answers: 1) hours, holidays and after-hours policy; 2) services we do and don't do; 3) prices or ranges we're willing to say on the phone, call-out or consultation fees; 4) service area (towns, postcodes/ZIP codes) and what to say to callers outside it; 5) booking rules (lead times, deposits, cancellation policy); 6) payment, insurance or financing we accept; 7) the 10 questions callers ask most and our exact answers. When I'm done, produce: a one-page fact sheet with clear headings; a 'never say' list (promises, prices, advice or topics it must not discuss, including anything I flagged); a 'hand to a person' list; and 5 facts I should re-check every month because they change (prices, holiday hours, staff names). If any of my answers are vague or conflict with each other, ask me to fix them before you write the sheet.

## Safety checks (share these with the user)

- Check every figure, price and total against your own records before anything is sent, posted or booked. A person approves refunds, discounts, payments and price changes.
- Don't let AI make the final call on hiring, pay, performance or discipline. Use it to organise information, and have a person decide using criteria you can explain.
- Remove names, contact details, account numbers and other personal data the task doesn't need before you paste, and check your AI tool's data and training settings.
- Check names, dates, numbers and any claim against your own source material before you use the answer. AI can misread or invent details.
- Say clearly which parts need a person to review or approve before anything is sent, paid, posted or filed.
