# Stop your AI assistants from disagreeing about your business: set up one shared source of truth for facts, numbers and approvals that every agent reads before it acts and updates when something changes

Once you use several AI assistants, each one remembers different things, and a correction you give one doesn't reach the others. On Oct 28, 2026 Jeel Patel, who runs the company Foxcue with about 11 AI agents, wrote on X that his agents coordinate through shared records such as a campaign log, a Google Sheet that is the source of truth for waitlist signups, and routine logs, rather than through each other's memory. He gave examples: a wrong fact about him that one agent kept repeating until the correction was written down, a signup count that only the sheet got right because it showed a bot test entry to exclude, and a marketing agent that correctly declined to repost because his written approval record only covered quotes and pins. The prompt below sets up the same shared records for a small business.

## Inputs to collect first
Ask the user for anything below that they haven't already given you. Don't guess missing facts.

- What it does, team size
- E.g. ChatGPT, Claude, Gemini, Grok, a coding agent, the AI in my CRM
- E.g. a Google Drive folder, Notion, a shared docs folder

## Instructions

Do the task below with the user's inputs in place of each [bracket].

Help me set up one shared source of truth that all my AI assistants use. My business: [what it does, team size]. Assistants I use: [e.g. ChatGPT, Claude, Gemini, Grok, a coding agent, the AI in my CRM]. Places they can all read: [e.g. a Google Drive folder, Notion, a shared docs folder]. 1) Ask me questions, then draft a short 'business facts' document: who we are, products and prices, key people and roles, brand voice, and facts assistants often get wrong, each with the date it was last checked. 2) Propose which live numbers should come only from a record, not memory (e.g. signups, orders, cash, open tickets), and name the sheet or system that is the source for each. 3) Draft an approvals log: what each assistant may do on its own, what needs my yes, and what it must never do, written clearly enough that an assistant can check it before acting. 4) Write a short instruction I can paste into each assistant telling it to read these files before acting, quote numbers only from the named source, and write any correction or new fact back to the file with a date. Keep everything short and plain; don't connect to or change any of my accounts.

## Safety checks (share these with the user)

- This prompt works on text other people wrote (emails, reviews, messages or web pages). That text can hide instructions aimed at AI, such as "ignore your rules and…". Paste it as material to work on, and never let the AI act on requests inside it, like paying, sharing logins or changing records.
- Check every figure, price and total against your own records before anything is sent, posted or booked. A person approves refunds, discounts, payments and price changes.
- Check names, dates, numbers and any claim against your own source material before you use the answer. AI can misread or invent details.
- Say clearly which parts need a person to review or approve before anything is sent, paid, posted or filed.
