# Run every repeatable project the same way: write your product launch, restock or client onboarding down once as steps with approval points, then have an AI agent track which step you're on, chase whoever has gone quiet and only come to you for decisions

A supplement brand owner (Mansour, on X, October 30, 2026) described what he wants from his AI agent: his product launches are about 10 steps over roughly 6 weeks (purchase order, deposit, label design, proof revisions, printer, payment, shipping to the manufacturer), the same steps every product, and most of that time is spent waiting on someone else. Instead of tracking each step himself, he wants to set the project up once with its steps and the points where he must approve, then tell the agent "launch this" for the next product and have it remember where things stand, chase the label printer when it goes quiet and bring him only the decisions. He notes restock orders, month-end close and client onboarding have the same shape. The prompt below builds that playbook and a weekly status check you can run in any AI assistant today.

## Inputs to collect first
Ask the user for anything below that they haven't already given you. Don't guess missing facts.

- E.g. launching a new product, a restock order, onboarding a new client
- The steps, who did each one, and how long each took

## Instructions

Do the task below with the user's inputs in place of each [bracket].

Help me turn a process I repeat into a reusable project playbook. The process: [e.g. launching a new product, a restock order, onboarding a new client]. Here is how it went last time, roughly: [list the steps, who did each one, and how long each took]. 1) Write the playbook as numbered steps. For each step give: what has to happen, who owns it (me, a named supplier or partner, or you the assistant), what it depends on, a typical duration, and what 'done' looks like. 2) Mark every step where I must approve or pay before anything moves on, and make those hard stops. 3) For each step owned by someone else, write a short, polite follow-up message and say after how many days of silence it should be sent. 4) Give me a status template I can paste back each week: current step, what we're waiting on and from whom, days waiting, the next decision I owe, and any risk to the finish date. 5) Ask me for anything you need rather than guessing. Don't send any message or make any payment; draft everything for me to approve.

## Safety checks (share these with the user)

- Check every figure, price and total against your own records before anything is sent, posted or booked. A person approves refunds, discounts, payments and price changes.
- Remove names, contact details, account numbers and other personal data the task doesn't need before you paste, and check your AI tool's data and training settings.
- Read and edit the draft before it reaches a customer or goes public. If you later automate this prompt, start with "draft and notify me", not "send automatically".
- Check names, dates, numbers and any claim against your own source material before you use the answer. AI can misread or invent details.
- Say clearly which parts need a person to review or approve before anything is sent, paid, posted or filed.
