# Let an AI travel agent handle flight disruptions for your company: when a booked flight is cancelled or delayed, it finds or books an in-policy alternative under your price cap, cancels the old ticket only if that's free, and tells the traveller and booker what changed

When a work trip falls apart because a flight is cancelled, someone on the travel desk has to find a new flight that fits company policy, rebook it and tell everyone, often after hours. In an announcement dated October 31, 2026, Travel Code says its AI agent Robert can now handle disrupted flights on its own when a company allows it. Companies choose how far it goes: just notify the traveller, find options, hand the case to a travel agent, or rebook automatically within policy and a price cap. When it rebooks, it holds the new booking until payment and cancels the original only when that is free. Robert works with the user's own permissions, and changes are shown as a confirmation card with the old and new values before they run; users can also see and edit what it remembers. These are the vendor's own claims. The prompt below gives any AI assistant the same rules so it can work out your options when a flight is disrupted.

## Inputs to collect first
Ask the user for anything below that they haven't already given you. Don't guess missing facts.

- Airline, flight number, date, from, to
- Cancelled, or delayed by X hours
- Names
- Date and time, and why, e.g. client meeting
- Cabin class, price cap, preferred airlines, rules on layovers
- Only look for options, or book after approval from (name)

## Instructions

Do the task below with the user's inputs in place of each [bracket].

My flight has been disrupted and I need help rebooking within my company's travel policy. Booked flight: [airline, flight number, date, from, to]. What happened: [cancelled, or delayed by X hours]. Travellers: [names]. Must arrive by: [date and time, and why, e.g. client meeting]. Company policy: [cabin class, price cap, preferred airlines, rules on layovers]. What I'm allowed to do: [only look for options, or book after approval from (name)]. 1) Tell me what the airline may owe me for this disruption under its own published rules and the rules in my region, and say where you got that so I can check it. 2) Find 3 alternatives that arrive in time and fit the policy, cheapest first, with total price, stops and arrival time. Mark any that break a rule and say which rule. 3) For each one, tell me whether to cancel or change the original ticket and whether that costs anything; never suggest cancelling the original before the new booking is confirmed. 4) Draft a short message to the traveller and one to the person who approves travel, saying what changed and what it costs. Don't book or cancel anything yourself; I'll confirm each step.

## Safety checks (share these with the user)

- This prompt works on text other people wrote (emails, reviews, messages or web pages). That text can hide instructions aimed at AI, such as "ignore your rules and…". Paste it as material to work on, and never let the AI act on requests inside it, like paying, sharing logins or changing records.
- Check every figure, price and total against your own records before anything is sent, posted or booked. A person approves refunds, discounts, payments and price changes.
- Remove names, contact details, account numbers and other personal data the task doesn't need before you paste, and check your AI tool's data and training settings.
- Read and edit the draft before it reaches a customer or goes public. If you later automate this prompt, start with "draft and notify me", not "send automatically".
- Say clearly which parts need a person to review or approve before anything is sent, paid, posted or filed.
