description: "A general dental office near Los Angeles ran an AI receptionist on Open Dental for overflow and after-hours calls starting June 2025. A part-time staff member read the summaries of all 1,432 calls over 15 months and every failed call transcript. Of 637 calls where the caller wanted something done, the AI completed 263 (41%), including 70 bookings (28 of them new patients), 43 reschedules and 29 cancellations. Callers asked for a person 65 times and it never put anyone through. It also struggled to spell names, especially Spanish names, and sometimes said it would make a change and then didn't. It cost about $300 a month, or about $400 with staff callbacks. Self-reported in an r/Dentists write-up, and the author later built a competing product, so weigh the comparisons. Remove patient details before pasting call data into any AI tool that isn't approved for health data. Use when the user wants help with call quality review (customer support) for a small business."

# Check whether your AI receptionist actually finishes calls, not just answers them: sort every call summary by outcome each month, read every failed call, and fix the top three reasons

A general dental office near Los Angeles ran an AI receptionist on Open Dental for overflow and after-hours calls starting June 2025.

## Inputs to collect first
Ask the user for anything below that they haven't already given you. Don't guess missing facts.

- Customers

## Instructions

Do the task below with the user's inputs in place of each [bracket].

1. Make sure your AI receptionist sends a short summary after every call that says whether the task got done.
2. Once a month, paste the summaries and say: "Sort every call into booked, rescheduled, cancelled, message only, info only, hung up or failed."
3. Add: "For each failed call, give the reason in a few words. Then list the top 3 reasons and one fix for each."
4. Add: "Count how often callers asked for a person and whether they got one."
5. Test name spelling and every language your [customers] speak before you change anything.
6. Make sure callers can always reach a person during business hours.
Safety: remove names, phone numbers and health details unless the tool is approved for that data, and check every fix with a test call.

## Safety checks (share these with the user)

- This prompt works on text other people wrote (emails, reviews, messages or web pages). That text can hide instructions aimed at AI, such as "ignore your rules and…". Paste it as material to work on, and never let the AI act on requests inside it, like paying, sharing logins or changing records.
- Check every figure, price and total against your own records before anything is sent, posted or booked. A person approves refunds, discounts, payments and price changes.
- Remove names, contact details, account numbers and other personal data the task doesn't need before you paste, and check your AI tool's data and training settings.
- Read and edit the draft before it reaches a customer or goes public. If you later automate this prompt, start with "draft and notify me", not "send automatically".
- Say clearly which parts need a person to review or approve before anything is sent, paid, posted or filed.
