# Win commercial leasing assignments from property owners: have AI screen your contacts down to the owners worth approaching, send outreach you approved in your name, sort every reply into referral, question or meeting, and turn a property's data exports into a branded leasing brief in minutes

Winning leasing assignments means reaching retail property owners directly, and qualifying contacts, writing outreach and building a property-specific brief all land on a busy principal. In a case study first published Oct 8 and updated Oct 21, 2026, Pacific Software Ventures describes the system it built for CapRock Real Estate: the firm's own contacts are screened against its target profile, client-approved email sequences go out in the principal's name, every reply lands in one dashboard sorted by type, and emailing a property's data exports to the AI returns a CapRock-branded leasing brief in about four minutes. About a month in (late September 2026), the outreach had drawn 20 replies from real people, 17 of which opened a next step: 13 referrals to the person who handles leasing, 2 ready to meet and 2 questions. Nothing was sent until CapRock approved the wording, and a person decides when a brief goes to an owner. These are the vendor's figures, and leasing cycles are long, so they are openings, not signed assignments.

## Inputs to collect first
Ask the user for anything below that they haven't already given you. Don't guess missing facts.

- Property type, size, area, e.g. neighbourhood retail centres of…
- CHECK
- One email you've sent

## Instructions

Do the task below with the user's inputs in place of each [bracket].

1. Paste your contact list and say: "My target owner is [property type, size, area, e.g. neighbourhood retail centres of 20,000 to 150,000 sq ft in Dallas]. Mark each contact FIT, NOT A FIT or UNSURE, with one line why. Don't guess ownership; mark anything you can't confirm as [CHECK]."
2. Say: "Write a 3-email sequence to FIT owners in my voice: [paste one email you've sent]. Email 1 offers something specific to their property, a short leasing brief. Keep each under 120 words, no hype." Edit it until you'd sign it.
3. For a brief, paste the property's data (rent roll, tenant list, traffic counts, nearby tenants) and say: "Turn this into a one-page leasing brief: the property at a glance, vacancies, the tenant types that fit, comparable nearby tenants and 3 next steps. Use only the numbers I gave you."
4. When replies come in, paste them and say: "Sort each reply as REFERRAL (who to contact next), QUESTION, READY TO MEET, NOT INTERESTED or AUTO-REPLY, and draft a short answer for each of the first three."
5. Send every email and brief yourself after reading it.

## Safety checks (share these with the user)

- Remove names, contact details, account numbers and other personal data the task doesn't need before you paste, and check your AI tool's data and training settings.
- Read and edit the draft before it reaches a customer or goes public. If you later automate this prompt, start with "draft and notify me", not "send automatically".
- Check names, dates, numbers and any claim against your own source material before you use the answer. AI can misread or invent details.
- Say clearly which parts need a person to review or approve before anything is sent, paid, posted or filed.
