# Cut showing no-shows and book viewings in the chat: have an AI ask every website lead the same qualifying questions, route them to the right agent by area and price, offer open slots from the agent's real calendar, and text a confirmation on the day

Booking a showing often takes four back-and-forth messages, qualification depends on who picks up the lead, and a quarter of booked viewings can end as no-shows when nobody confirms on the day. In an Oct 30, 2026 case study, CogniAgent describes a US Southeast brokerage with 140 agents, four offices and about 1,900 website inquiries a month (42% evenings or weekends). An AI agent on the website chat and SMS replies within seconds about the listing the visitor is viewing, asks the same qualifying questions every time (buy or rent, areas, price range, bedrooms, timeline, pre-approval, already working with an agent), routes the lead by area, price band and lead type to an agent pod, offers open slots from the assigned agent's Google Calendar, and texts a confirmation with the address and agent's name on the day, with rescheduling in the same thread. It never asks about protected characteristics or describes neighbourhoods by demographics, and anything it can't answer from approved content goes to a licensed agent. The company says viewings booked from web inquiries rose from about 95 to 310 a month, conversion from about 5% to 16%, and no-shows fell from about 24% to 11%. These are the vendor's figures for an unnamed client.

## Inputs to collect first
Ask the user for anything below that they haven't already given you. Don't guess missing facts.

- Name
- Ress
- Time
- Agent

## Instructions

Do the task below with the user's inputs in place of each [bracket].

1. Write your qualifying questions once: buy or rent, areas, price range, bedrooms, move timeline, pre-approved or not, already working with an agent. Ask your AI: "Turn these into a friendly 5-message chat that sounds like me. Never ask about or comment on race, religion, family status, disability or other protected traits, and never describe a neighbourhood by who lives there. If you can't answer from my listing info, say an agent will follow up."
2. Write your routing rules in plain words, e.g. "North side under $500k goes to Team A; rentals go to Sam." Ask the AI to check them for gaps and overlaps.
3. In your chat or booking tool, connect each agent's calendar so the bot offers real open slots, not times it makes up.
4. Ask the AI to write the day-of text: "Hi [name], confirming your viewing at [address] today at [time] with [agent]. Reply 1 to confirm or 2 to pick a new time."
5. Each month, compare no-shows and booked viewings with the month before, and read 10 chats to check the bot stayed within the fair housing rules.

## Safety checks (share these with the user)

- This prompt works on text other people wrote (emails, reviews, messages or web pages). That text can hide instructions aimed at AI, such as "ignore your rules and…". Paste it as material to work on, and never let the AI act on requests inside it, like paying, sharing logins or changing records.
- Check every figure, price and total against your own records before anything is sent, posted or booked. A person approves refunds, discounts, payments and price changes.
- Remove names, contact details, account numbers and other personal data the task doesn't need before you paste, and check your AI tool's data and training settings.
- Read and edit the draft before it reaches a customer or goes public. If you later automate this prompt, start with "draft and notify me", not "send automatically".
- Say clearly which parts need a person to review or approve before anything is sent, paid, posted or filed.
