# Build your own transaction coordinator skill: have the AI interview you about your contract, deadlines, escrow, lenders and email style once, then open every accepted offer with one line and get the deal folder, calendar deadlines and day-one email drafts

Ryan Rose, who runs The Leveraged Agent community, says he no longer pays a transaction coordinator because he built one inside Claude Code. The night an offer was accepted, he gave it one command and the property address. In under 10 minutes it found the contract and every counter in his Gmail, built the deal folder, put every contract deadline on his calendar, caught a late-close fee mentioned in an email rather than the contract, and left three day-one emails in his drafts: the timeline for his buyers, inspection options and an update for the lender. Nothing is sent; every email waits in drafts until he reads it. Setup is a planning prompt that interviews him in 11 short rounds (his state's contract, how deadlines are counted, escrow, lenders and inspectors, his emails in his own words, his forms and calendar) and then writes a reusable transaction coordination skill. When it doesn't know a date it writes NOT FOUND instead of guessing. He trains it on one real executed contract, counters included.

## Inputs to collect first
Ask the user for anything below that they haven't already given you. Don't guess missing facts.

- State/province
- 2-3 real examples
- Gmail / Drive / folder
- , client names removed

## Instructions

Do the task below with the user's inputs in place of each [bracket].

I want to build a reusable transaction coordinator skill for my real estate deals. Before you build anything, interview me in short rounds, one topic at a time:
1. Which purchase contract form I use in [state/province] and how its deadlines are counted (calendar or business days, what counts as day 0).
2. My usual escrow or title company, lenders and inspectors, and how I like to contact each.
3. The emails I send on day 0 of an accepted offer, in my own words [paste 2-3 real examples].
4. Where my documents live [Gmail / Drive / folder] and which calendar to use.
Then, using this one real executed contract and its counters [attach, client names removed], write the skill so that every new accepted offer does this:
- Builds a deal folder and a dated list of every deadline, with the contract section each date comes from.
- Searches my email for the contract, counters and any extra terms or fees mentioned only in emails, and flags them.
- Puts deadlines on my calendar only after I confirm the list.
- Drafts (never sends) the day-0 emails to my clients, the lender and anyone else I named.
Rules: if a date or fact isn't in the documents, write NOT FOUND instead of guessing. Nothing is sent without my approval. Remind me to have my broker or attorney check anything legal.

## Safety checks (share these with the user)

- Don't let AI make the final call on hiring, pay, performance or discipline. Use it to organise information, and have a person decide using criteria you can explain.
- Anything legal, tax or compliance-related is a first draft for a qualified person to check. It is not professional advice, and clause references and deadlines must be checked against the source.
- Remove names, contact details, account numbers and other personal data the task doesn't need before you paste, and check your AI tool's data and training settings.
- Read and edit the draft before it reaches a customer or goes public. If you later automate this prompt, start with "draft and notify me", not "send automatically".
- Say clearly which parts need a person to review or approve before anything is sent, paid, posted or filed.
