Sections: summary in 3 lines, rent and arrears, maintenance done (date, issue, contractor, cost, status), inspections and compliance (what's due next), tenant communication highlights, and anything that needs the landlord's decision."
3. Add: "Keep it plain and factual. Don't guess or add anything not in the data; write [CHECK] where information is missing. Leave out tenants' personal details that the landlord doesn't need."
4. Read it, fix anything wrong, and add one personal line before you send it.
5. Save the prompt and run it for every landlord each quarter.
