AI for property managers and small landlords
Most AI property management software is built for big portfolios. If you manage under 50 units, or rent out a few doors yourself, you can get most of the benefit with a chat tool, good prompts and clear rules. Here is how, with the human rights and screening rules that matter.
Why small landlords get left out
| Product | Published pricing | What it means for a small landlord |
|---|---|---|
| AppFolio (Core) | From $1.49 per unit per month; "minimum spend and 50 unit minimum apply" (AppFolio pricing) | Not built for 5 or 20 units. |
| EliseAI | No published price. A third party reports a claim of $3 to $6 per unit per month with annual minimums near $25,000 (Reallyo); unconfirmed, ask EliseAI directly | Priced for large operators. |
| A chat tool + the prompts below | Free to start; paid chat plans are optional | Good enough for replies, maintenance triage and checklists if a person decides. |
Prices checked October 24, 2026. They change; check the vendor before deciding.

Free prompt: answer rental inquiries fairly
You answer rental inquiries for my property. Use ONLY this fact sheet: [address/area, unit type, rent, what's included, deposit rules for my province/state, parking, laundry, pet policy, smoking policy, accessibility features, earliest move-in, how to book a viewing, how to apply]. Rules: - Give every person the same information and the same next step (book a viewing at [link] / apply at [link]). - Never ask about or comment on age, children, family or marital status, religion, ethnicity, place of origin, disability, sexual orientation, gender identity, source of income or receipt of public assistance. - Never say a unit is "ideal for" any type of person. Describe the unit. - If asked about something not on the fact sheet, say I will reply personally, and flag it for me. - If someone asks for an accommodation for a disability, say I will follow up personally, and flag it. Draft a reply to: [paste inquiry]
Free prompt: triage a maintenance request
Triage this maintenance request. Categories: EMERGENCY (risk to safety or major property damage: no heat in winter, flooding, gas smell, no water, electrical hazard), URGENT (within 24 to 72 hours), ROUTINE. Request: [paste message and any photos described]. Output: 1) category and why; 2) a reply to the tenant with what happens next and any immediate safety step (for gas or fire: leave and call emergency services); 3) a work order for the trade: unit, problem, access instructions, photos needed. Do not promise a time I haven't confirmed. Mark anything unclear [ASK TENANT]. I approve every dispatch.
Free prompt: write fair screening criteria
Help me write tenant screening criteria for [province/state]. I want criteria that are written down, applied the same way to every applicant, and lawful where I rent. My draft criteria: [e.g. credit check, references, rental history, income information, number of occupants]. For each item: say whether it may raise a human rights or fair housing issue in my jurisdiction and why, suggest a fairer wording, and list what I must tell an applicant if I turn them down. Do not score or rank applicants. Remind me to check the rules with my regulator or a lawyer.
Small landlord AI checklist
- Keep a one-page fact sheet and paste it every time.

- Income can be considered only together with credit references, rental history and credit checks (O. Reg. 290/98).
- Remove names and contact details, or use a plan your privacy obligations allow.
- Use the free checker.
Compliance notes
- Ontario: the Human Rights Code protects tenants on grounds including age, family status, marital status, disability, place of origin, creed, sexual orientation, gender identity and receipt of public assistance. The OHRC rental housing policy explains screening rules, and the fair rental ad fact sheet covers ads.
- Ontario screening: O. Reg. 290/98 lets landlords request credit references, rental history and credit checks, and consider income information only together with those.
- Ontario tenancy rules: Residential Tenancies Act, Landlord and Tenant Board and the province's renting in Ontario guide.
- US: the Fair Housing Act covers rentals, including ads (42 U.S.C. 3604). Some small owner-occupied buildings are exempt from parts of it, but never from the advertising rule (42 U.S.C. 3603(b)).
- US: adverse action based on a consumer report requires a notice to the applicant (15 U.S.C. 1681m).
- HUD withdrew its 2024 guidance on AI in tenant screening and advertising in 2025 (HUD notice); the law itself still applies.

FAQ
Can AI screen tenants for me?
Don't let it decide. AI can help you write fair, written criteria and organise applications, but a person should make every approval or rejection, applied the same way to everyone.
Is AppFolio an option for a small landlord?
AppFolio's published pricing says a minimum spend and a 50-unit minimum apply, so it targets larger portfolios. Check with AppFolio for your situation.
Can I use a rent-to-income ratio in Ontario?
Not on its own. Under O. Reg. 290/98, income information can be considered only together with credit references, rental history and credit checks. See the OHRC rental housing policy.
Can AI write my eviction or rent increase notice?
Use the official forms (in Ontario, from the Landlord and Tenant Board). AI can remind you of your dates, not replace the forms.
Is there a property manager product?
Yes: the Property Manager & Landlord kit ($24, one-time) has 3 agents and 9 workflows. Checkout is opening soon; its free sample and the prompts on this page are free now.
