Get years of messy bookkeeping fixed before a bank loan: have an AI agent work through your QuickBooks account by account, list every error past bookkeepers left, fix them with your approval, and give you a clean summary to check with your accountant: AI agent prompt
Lenders want clean books, and a business that has gone through several bookkeepers often doesn't have them. In an X post on Oct 24, 2026, the owner of a cleaning company (@PaulJReardon013) wrote that he needed his QuickBooks fixed for an SBA loan after several bookkeepers over the years, including QuickBooks' own service, had left his records in such a state that he needed a forensic bookkeeper. He received three proposals ranging from $14,000 to $21,000. Instead he tried Grok Bot on its Pro plan, and says that within two weeks his QuickBooks was fixed and the business was in SBA underwriting. This is the owner's own account; he doesn't describe the steps, and no accountant review is mentioned. Because lenders rely on these numbers, have every change reviewed by your accountant before anything goes to the bank. The same approach works for an agent or property manager cleaning up books before a mortgage, a refinance or tax time.
The prompt
1. Export your chart of accounts, last bank and card statements, and a trial balance or profit and loss from your bookkeeping software for the years the lender will look at. 2. Ask your AI: "Compare these records with the bank statements. List every problem you find, one account at a time: duplicates, missing transactions, wrong categories, unreconciled balances, personal spending in business accounts. For each, show the evidence and the fix you suggest. Don't change anything yet." 3. Go through the list and approve fixes in small batches. Make the changes yourself, or let the agent make only the ones you approved. 4. Ask: "Reconcile each account again and tell me which balances still don't match and why." 5. Ask for a one-page summary of what was changed and why, and have your accountant review it before you send anything to the lender.

Before you use it: what to check
Already built into this prompt
- Don't change anything yet." 3.
- Go through the list and approve fixes in small batches.
- Make the changes yourself, or let the agent make only the ones you approved.
Check yourself
- Check every figure, price and total against your own records before anything is sent, posted or booked. A person approves refunds, discounts, payments and price changes.
- Remove names, contact details, account numbers and other personal data the task doesn't need before you paste, and check your AI tool's data and training settings.
- Read and edit the draft before it reaches a customer or goes public. If you later automate this prompt, start with "draft and notify me", not "send automatically".
- Check names, dates, numbers and any claim against your own source material before you use the answer. AI can misread or invent details.
