AI prompts to summarize meetings, notes, documents and reports
Summarizing is the easiest place to get value from AI: you already have the material, you just don't have time to read or rewrite it. These prompts turn messy inputs (call notes, long PDFs, incident logs, CRM activity) into something your team can act on: a summary, a brief, a list of action items or a hand-off note.
39 free prompts across 14 categories. Each one links to the real-world example it is based on.
How to use these prompts
- Say who the summary is for (a customer, your boss, an on-call engineer); it changes what the AI keeps.
- Ask for a fixed format, such as 5 bullets plus owners and due dates, so summaries are easy to scan.
- For long documents, Claude and Gemini handle bigger files; ChatGPT works well for shorter notes.
- Always check names, numbers and dates against the original before you share a summary.

- Turn a messy ideas folder into social drafts you still approvePoint a coding agent at the folder where you dump ideas and half-written notes so it organizes them into reviewable social drafts in your scheduler, like Ajay Yadav's Claude Code plus Buffer setup where nothing publishes without his edit and personal touch. · Content · beginner
- Brief a field technician before the service visitTurn IoT alerts, service history, manuals, and past cases into a pre-arrival briefing so technicians show up knowing likely fixes and parts—like TK Elevator's Azure briefing agent and KONE Technician Assistant, which helped avoid ~20,000 unplanned visits and cut callbacks over 40% where deployed. · Operations · intermediate
- Brief an on-call engineer when an incident hitsWhen a production incident lands, pull telemetry, similar past incidents, and troubleshooting-guide matches into one Teams (or Slack) brief so the on-call engineer spends less time hunting portals. Microsoft Digital's Smart DRI Agent does this for 40+ teams and saves about 600 engineering hours a month. · IT & Internal Help · intermediate
- Prep an anti-money-laundering alert review with every source linkedHave an agent pull together the evidence for a suspicious-activity alert, compare it to what is normal for that customer, and draft the case summary so the analyst only has to decide. FIS made its AML Investigations Agent, built with Anthropic, available to US banks; at design partner Amalgamated Bank it is projected to cut first-level alert review time by more than 90% and SAR narrative prep by more than 80%, and no case can be closed without an analyst confirming it. · Legal & Compliance · advanced
- Have your AI assistant spot gaps in the AR report and ask the right person to fix themGive an AI assistant your accounts receivable aging report and invoice list, let it find where the totals don't agree, and have it draft a clear request to the colleague who owns the numbers. A consultancy head set up ChatGPT's Dot agent as an executive assistant named Hannah with its own company email, and shared an email where it asked a colleague to reconcile a USD 59,819.26 AR summary with a USD 68,523.21 invoice total, pointing out the USD 8,703.95 gap matched four new invoices dated 14 October. · Finance · beginner
- Check a support case's real reason and draft a reply in the right brand voiceHave an agent summarize each incoming case, confirm what the customer is actually asking for, draft the reply in the voice of the brand they contacted, and flag a mismatched case reason before the case is closed. L'Oréal's consumer care advisors use Agentforce this way across 25 brands and handle cases up to 64% faster. · Customer Support · beginner
- Have an agent watch your work apps and message you only when something needs youInstead of asking an assistant for things, let it come to you: a short morning brief from your email, calendar and chat, check-ins every few hours that only ping you when something really needs you, and drafts it prepares in the background but never sends, pays, signs or deletes without your OK. Anthropic opened a research preview of Claude Duet on Oct 21, 2026, a proactive agent app built for professionals and small business owners that works this way. · Personal Productivity · beginner
- Turn your agent's past wins and failures into a lessons file it reads before every taskMost agents start every task like a new intern. Have one study the transcripts of past attempts, what worked and what failed, and write a short lessons file of your preferences, conventions and gotchas that it reads before the next similar job. Letta released FrontierMemory 1.0 in October 2026, a benchmark that scores agents on how much memory written from 674 past attempts (184 passes, 490 failures) helps them solve related tasks; the top models reached 73.3%, and Letta notes many agent products now 'dream' over past sessions to improve their memory. · Personal Productivity · intermediate
- Let customers buy and change their plan by chat, with a person ready for judgment callsSimple changes like updating an address, switching a plan or moving a payment date shouldn't need a phone queue. Give a chat agent your rules so it can complete routine changes for customers any time of day, and hand anything unusual to a person with a clear summary. On Oct 21, 2026, UK insurer 1st Central Group launched Motivo with Microsoft: its assistant KAI helps customers buy cover, make policy changes and manage payments 24 hours a day by chat or voice, with specialists available when judgment is needed, and early testing showed comparable interactions take about 40% less time. · Customer Support · intermediate
- Brief your technicians before each job and let them talk through their notes afterward instead of typingField technicians lose time hunting for the right unit, the old service notes and the manual, then write up their report in the van. An AI assistant can brief them on the job before they arrive (which equipment, what the issue is, what tools to bring, past history) and, after the work, interview them by voice, asking follow-up questions until the notes are complete. Microsoft reported on Oct 22, 2026 that TK Elevator technicians now get this pre-visit briefing on their phone and dictate their work to a debriefing voice agent, and those spoken notes are shared with colleagues who service the same equipment later. TKE has 25,000 service technicians caring for 1.4 million elevators and escalators. · Operations · intermediate
- Get a weekly list of companies that just changed owners, leaders or funding, with a tailored pitch for eachCompanies are most open to a new supplier or partner right after something changes: a new owner, a new leader, a big new project, an acquisition or a funding round. Have an AI agent scan for these moments every week, write a short brief on each company, sketch what you could do for them and draft a personal first message, with you approving every send. Applied technology studio CapePoint posted on Oct 22, 2026 that it built exactly this sales agent and ran it on its own pipeline first, so first calls are spent on what's actually on the prospect's list. · Sales · intermediate
- Write the summary and resolution notes for every IT support ticket so your team can jump straight to the fixIT support teams lose time reading long ticket threads before they can help, and resolution notes often get skipped once the problem is fixed, so the next person starts from scratch. An AI agent can summarize each open ticket into what's wrong, what's been tried and what to do next, and write clean resolution notes when it closes, building a searchable history. ServiceNow announced on Oct 22, 2026 that managed IT provider Thrive uses its AI agents to sort, route and investigate tickets and write case summaries; the agents have generated over 92,000 automated assists, including 88,000 resolution notes, returning an estimated 14,500+ engineer hours, with a 73% first-contact resolution rate. · Customer Support · beginner
- Have an agent find the unfinished work hiding in your inbox, task list and meeting notes and keep pushing it forwardPending approvals, promised follow-ups and half-done tasks get scattered across email, to-do lists and meeting notes, and the day ends before they're finished. Newer agents can sweep those places, list every open loop, make a plan, and keep working on the routine pieces for hours or days while checking their own progress. eWeek reported on Oct 22, 2026 that ServiceNow made its Arc agent generally available: an employee gives it a goal, and it spots unfinished work from the inbox, task backlog and meeting conversations, including pending approvals and follow-ups, then plans and carries out the steps across work apps within access rules set by IT. · Personal Productivity · intermediate
- Get coaching feedback on a lesson you just taught, from a recording or your own notes, and pick one thing to try next timeMost teachers, tutors and trainers almost never get someone to watch their class and give useful feedback, so habits that lose students' attention can go unnoticed for years. An AI coach can review a lesson recording, transcript or the teacher's own reflection and give specific, practical feedback on engagement, questioning and clarity, with one change to try in the next lesson. The World Bank reported on Oct 21, 2026 that in Ethiopia it piloted AI-Coach with the government and close to 350 English and math teachers, who record their lessons and get feedback on student engagement, questioning techniques and instructional quality through a simple phone app that works with patchy internet; teachers found the feedback timely, tailored and practical. · Education · beginner
- Let an AI help desk agent fix the routine IT requests start to finish while your staff check its workSmall IT teams spend most of the day on the same device, password and connectivity questions, leaving little time for real problems. An AI agent can answer employees from your own help articles, route anything it can't solve to the right person, write the ticket summary, and fully handle common requests, with staff reviewing what it did. ServiceNow announced on Oct 8, 2026 that the City of Raleigh, whose four-person help desk supports 4,400 employees, uses one agent to guide self-service and another to resolve L1 requests end to end: IT service desk costs fell 66%, 98% of tickets are routed correctly on first contact, 98% of AI incident summaries are accepted as-is, and nearly half of requests are resolved without a person. · IT & Internal Help · intermediate
- Build a loan amortization or depreciation workbook with real formulas and a clear assumptions tabLoan schedules, depreciation tables and balloon payment calculations eat hours of careful spreadsheet work and are easy to get wrong. An AI agent that can write and run code can read the loan agreement and build a spreadsheet with live formulas, a documented assumptions tab and notes for anything to follow up, ready for you to review instead of type. Accounting Today reported on Oct 22, 2026 that Thomson Reuters' new CoCounsel for Tax, Audit and Accounting built a full amortization table, balloon payment calculation and follow-up notes for a $5 million commercial real estate loan from the loan agreement and a template during a demo. · Finance · intermediate
- Sort a month of customer calls by what callers wanted and how they felt, to find what is really driving themWhen customer scores drop, the phones usually show why, but nobody has time to listen to hundreds of calls. An AI assistant can read call transcripts or notes, tag each one by reason and mood, and show which single problem creates most of the calls, so you fix the cause instead of answering the same question faster. Numa's Oct 14, 2026 case study describes how Dyer Automotive Group in Florida pulled its own service calls and sorted them by reason and mood. 63% were customers checking on their cars and more than 40% of callers were angry, with "nobody called me back" the top complaint. Fixing callbacks brought call volume down and raised CSI. · Customer Support · beginner
- Turn a pile of loan or credit application documents into a one-page review memo: have an AI sort the paperwork, work out income, check it against your rules and flag mismatchesLenders, brokers, landlords and finance teams lose hours sorting pay slips, statements and IDs, retyping figures and hunting for numbers that don't add up before anyone can make a decision. An AI agent can sort each document by type, pull out the key figures, calculate income the way your policy says, test it against your rules and list any discrepancies in a short memo a person reviews. TD Bank Group said (May 21 and Oct 13, 2026) its agentic AI classifies client documents, extracts key information, calculates income, validates figures against selected policy requirements and flags discrepancies to produce an underwriter summary, cutting average mortgage pre-adjudication time from 15 hours to under three minutes, with colleagues reviewing every output. · Finance · intermediate
- Get a daily research email your agent can read: schedule an AI search every morning that emails a compact, cut-off-safe summary of trending posts and people to engage withPaying for a social media API just to find posts worth replying to costs more than most solo creators want to spend. A scheduled AI search that emails you its findings every morning can act as a cheap data feed for you or your other agents. Stefano Caioni shared on X (Oct 2026) that a Grok automation runs a search every morning and emails him the result; because the email preview only shows about 1,000 characters, his prompt asks for a compact block first with an END line to catch cut-offs, and a script imports it so his agent gets fresh reply targets, trending posts and people to follow, for almost nothing compared with the X API. · Marketing · intermediate
- Have two coding agents build a feature together: one leads and plans, the other builds, and they review each other's pull requests through a shared chat log fileDave Martin (@itsdavemartin) described on X (Oct 23, 2026) how he builds with Claude and Codex together: Codex first turns his brief into a clickable HTML mockup, then Claude takes the lead, writes Linear issues and a plan, and the two agents coordinate through a /planning folder holding one markdown chat log, a checkbox plan and a list of decisions. Each works in its own copy of the repo, opens small pull requests, and neither may merge its own. He reports a help center feature took 23 pull requests and 95 help docs, starting one afternoon and finishing the next morning, from three prompts and a few answers. This prompt sets up that hand-off for your own project. · Coding · advanced
- Hand your office busywork to an AI agent safely, even on a locked-down work laptop: inbox sorting, call notes, filing and first drafts, with a rule that it never deletes anythingYou don't need to code or have admin rights to get real office work off your plate. A non-developer posting as Dédale on X (Oct 23, 2026) wrote that an AI agent now does a real chunk of their office work on a locked-down work laptop, mostly before they sit down: sorting the inbox each morning, turning call notes into clean notes, filing attachments in the right folders, and producing first versions of Word, Excel and PowerPoint files. The mistake they made at the start was letting it delete files; now it moves everything to an 'Old' folder and nothing is thrown away, so the worst it can do is put a file in the wrong place. This prompt sets up that morning routine with the same no-delete rule. Check your employer's AI policy before connecting work accounts. · Personal Productivity · beginner
- Write a listing description from your walkthrough notes that stays within fair-housing rules and your MLS character limitTurn rough walkthrough notes and the facts sheet into an MLS-ready listing description, a short version for portals and social, and a list of claims you still need to verify. The prompt keeps the copy about the property, not about who should live there, and flags wording that fair-housing advertising guidance warns against. · Marketing · beginner
- Follow up with every open-house visitor the same evening, with a different message for buyers, neighbours and visitors who already have an agentOpen-house sign-in sheets often sit in a folder for days. This prompt sorts the sign-ins by type and drafts a personal same-day follow-up for each group, using what you noted about each visitor, plus a short summary you can send the seller. · Sales · beginner
- Stop chasing other agents between showings: send every listing agent all your questions at once and get the answers back as one comparison tableA coastal agent lost hours in the car waiting on voice notes and slow replies from other agencies. An AI assistant now writes to each listing agent with every question at once, sends him the key points as answers arrive, builds a table for each property, and stops to hand him anything with a catch, because he runs the deal. Start with the prompt below to write the questions and the table, and keep sending in your own hands until you trust it. · Sales · intermediate
