Send every rental owner a clear monthly statement in minutes: upload the month's booking and expense reports with the management agreement, have an AI work out the fees and payout, write a short performance note and draft the email, then check the numbers before you send: AI agent prompt

Property managers, especially in short-term rentals, can lose days each month turning booking exports, expenses and fee terms into owner statements. Staymatic, the AI platform built by the team behind Dubai short-term rental operator Stay Property Management (covered by Industry Gulf on Oct 30, 2026), says on its site that its live Reporting Agent takes Excel or PDF files, produces a branded PDF owner statement plus a market narrative and a drafted email, and cuts the work from '3 days per landlord' to 30 seconds. The company says the platform has run across 300+ units. You can run the same routine with any AI assistant that reads spreadsheets, as long as you check every figure against the source reports and the management agreement before the owner sees it.

Who this is for

Property managers who turn a month's rent and expense files into an owner statement without guessing missing numbers.

Not for

Statements where guest or tenant names are left in the upload, or where a fee is not in the agreement.

What you need

The month's rent report, expenses and the management agreement (fees, pass-throughs, payout date).

The prompt

1. For one owner, gather the month's files: booking or rent report, expenses and invoices, and the management agreement (fee percentage, cleaning or maintenance pass-throughs, reserve, payout date).
2. Remove guest or tenant personal details you don't need, then upload the files to ChatGPT or Claude.
3. Ask: "Using only these files, build the owner statement: gross income by booking or unit, each fee and deduction with the agreement clause it comes from, and the net payout. Show every calculation in a table. If a number is missing or unclear, write 'CHECK' instead of guessing."
4. Ask: "Write a 4-sentence plain-English note on how the property did this month (occupancy, average rate, anything unusual) based only on these numbers."
5. Ask: "Draft a short, friendly email to the owner attaching the statement and summarising the payout and date."
6. Tick off every line against your accounting system and the agreement. Fix anything marked CHECK, then send it yourself.
7. Save the prompt and run it for each owner next month.

Worked example

A fictional business, so you can see what to paste in and what a good answer looks like. The example answer was written with AI help and its numbers and dates were checked; your AI's answer will be worded differently, so check it the same way.

Sample input (what you paste in)

Owner of 88 River Road, Units 2 and 4, Springfield. November 2026.
Rent report: Unit 4 $1,850 collected Nov 3; Unit 2 vacant, $0. Expenses: plumber invoice $220 (Unit 4 faucet, 12 Nov); paint $180 (Unit 5 is not this owner's — do not include). Agreement: 8% management fee on collected rent; repairs billed back at cost; payout on the 15th of the following month.

Example output (illustrative)

Owner statement — November 2026 (88 River Road, Units 2 and 4)

Gross rent collected: $1,850 (Unit 4, Nov 3). Unit 2: $0 (vacant).
Management fee 8% of $1,850 = $148.00 (agreement).
Repair pass-through: plumber $220, Unit 4 faucet, 12 Nov (at cost). Paint $180 is for Unit 5 — CHECK / exclude if Unit 5 is not under this agreement (your note says it is not).
Net payout: $1,850 − $148 − $220 = $1,482.00. Payout date per agreement: 15 December 2026.
Occupancy note: one of two units collected rent this month; Unit 2 vacant.

4-sentence note: November rent was collected on Unit 4 only ($1,850). Unit 2 remained vacant, so occupancy was 50% of this owner's two units. A $220 plumbing invoice for Unit 4's faucet was passed through at cost. No other deductions from these files.

Email: "Hi, attached is your November statement for 88 River Road, Units 2 and 4. Collected rent was $1,850, the management fee was $148, and a $220 plumbing invoice was passed through at cost, for a net payout of $1,482 on 15 December 2026. Happy to walk through any line."

Check before you use it: Tick every line against the accounting file. If a unit or invoice is not this owner's, mark CHECK and leave it out rather than blend the books.
