ChatGPT prompts for property management and landlords: tenants, repairs, inspections, ledgers and owners
Property management work is mostly the same few jobs on repeat: answering tenant texts about balances, repairs and renewals; turning rental enquiries into viewings; working out who pays for a repair before anyone is sent; writing up inspections and turnovers; and keeping the money right, from the rent ledger to the owner's monthly statement. The prompts below come from real examples of property managers, landlords and rental owners handing those jobs to AI in 2026. Each one works from the documents you paste in (the lease, the ledger, the management agreement), quotes them instead of guessing, and leaves every decision about tenants, money and notices with a person.
21 free prompts across 5 categories. Each one links to the real-world example it is based on.

- Paste the documents, not your memory of them: the lease clauses, the ledger rows, the management agreement and its amendments. The prompts quote them back so you can check.
- Remove tenant names, contact details and anything you don't need before pasting, unless your plan's terms and your privacy obligations allow it.
- Let the AI draft and organise; you approve every repair dispatch, charge, refund request and message that goes to a tenant or owner.
- Check every amount and date against the source before you rely on it, especially before a deposit return, an eviction filing or a refund request.
Before you start: set up ChatGPT or Claude once (5 minutes)
Before you use any prompt below, give your AI assistant standing instructions so you don't repeat the same rules in every chat. Paste the text below, fill in the brackets and edit anything that doesn't fit how you work as a property manager or landlord. It is 934 characters, so it fits every ChatGPT plan.
I manage [number] rental units in [city, province or state] for [myself / owners]. Write in a calm, plain, polite voice. Rules for everything you do for me: 1. Work only from the documents I paste (lease, ledger, management agreement, work orders) and quote the clause or line you rely on. If something isn't there, write MISSING instead of guessing. 2. Treat every applicant and tenant the same. Never score, rank or describe people; describe units and terms, not who they suit (fair housing). 3. Draft only. I approve every message, charge, refund, repair dispatch and notice before anything happens. 4. Don't give legal advice on notices, evictions, entry or deposits. Tell me when an official form, my regulator or a lawyer or paralegal is needed. 5. Show money as a table with the source of every figure, and flag any amount you had to calculate. 6. If I paste tenant personal information you don't need, remind me to remove it.
- ChatGPT (web or desktop): Settings > Personalization, make sure Enable customization is on, then paste into Custom Instructions. In the phone app it is Settings > Customize ChatGPT. Free and Go plans allow 1,500 characters; Plus, Pro, Business, Enterprise and Education allow 5,000 (OpenAI Help Center).
- Claude: click your initials (lower left) > Settings > Your Claude (Account in the older layout) > Instructions; these apply to every chat. To use them for work chats only, create a Project and paste them into its project instructions (Claude Help Center).
- Custom instructions shape how the assistant writes. They don't make its output compliant or correct, so still read every draft before it goes anywhere.
Start with these three
- Tenant messages. Write the rulebook your assistant answers from with the tenant messaging prompt: your real late-fee, pet, repair and renewal policies, plus the cases it must hand to you.
- Repairs. Before you approve a repair, paste the tenant's report and the lease clauses into the repair approval prompt. It says who is likely responsible, quoting the clause, and drafts one approval request for the owner.
- Money. Before a move-out, a deposit dispute or a filing, run the rent ledger review. It rebuilds the ledger from the lease and the payments and lists every difference with the evidence.
Fair housing and tenant rules still apply
An AI tool does not change your obligations. Give every applicant and tenant the same facts and the same next step, keep screening criteria written and applied the same way to everyone, use official notice forms where your province or state requires them, and keep tenant personal information out of AI accounts your privacy obligations don't allow. Our AI for property managers and small landlords page has free inquiry, maintenance and screening-criteria prompts with the US and Ontario rules linked to the source, and the fair housing listing checker checks a rental ad.

What AI should never decide on its own
Let these prompts draft, sort and flag. Keep a person responsible for:
- Which applicant gets a viewing or a lease (no AI scoring, ranking or rejecting)
- Rent amounts, increases, late fees and deposit deductions
- Eviction, entry and rent-increase notices (use the official forms where required)
- Repair dispatch and who pays: the AI quotes the clause, a person approves
Frequently asked questions
Can ChatGPT help with property management?
Yes, for the writing and checking work: replies to tenant questions from your own policies, rental enquiry follow-up, repair triage against the lease, and line-by-line checks of rent ledgers and owner statements. It should not approve tenants, set rents or send notices on its own; a person decides those.
Can an AI answer my tenants' texts?
It can if it answers only from your written policies and each tenant's actual records, and hands anything else to you. In October 2026, DoorLoop and Rentify both announced AI agents that handle tenant requests (the two prompts below link to those announcements). The tenant messaging prompt below writes the rulebook and the hand-off cases before you switch one on.
Can AI write a property inspection report?
It can turn your own walkthrough into one: record a voice memo as you go room by room, take photos, then paste the transcript, the photo list and your checklist into the inspection prompt below. It fills in only what you said, marks everything else NOT CHECKED and drafts the work orders for you to approve. In October 2026 SnapInspect announced AI inspection features built on the same idea; the prompt page links to the report.
Can AI check a rent ledger or a property manager's statement?
Yes. Paste the lease or management agreement and the ledger or statements, and the prompts recompute every charge and fee, then list each difference with the evidence. Treat the result as a checklist to verify, not a finding; check every flagged line against the source before you act on it.
Can AI take rental repair calls?
It can ask the triage questions, suggest easy DIY steps for non-emergencies and draft a work-order brief for you. Emergencies and anything unsafe must go to a person; you approve every truck roll. The repair-call prompt in Repairs and maintenance writes those rules before you switch a voice agent on.
