Turn a printed contact list into a working CRM with one phone photo: have ChatGPT build the database in Notion from the picture, then let it keep each contact's notes current from your email: AI agent prompt
In a Nov 3, 2026 Notion blog post, Aaron Lambert, who is taking over Twin City Distributors, a 16-employee regional distributor in Labrador City, Newfoundland, describes how the business's supplier and client contact directory existed only as a printed spreadsheet in a drawer. He photographed it and gave the photo to ChatGPT, which built the whole thing as a CRM in Notion through Notion's MCP connection. ChatGPT now also watches the inbox so supplier emails keep each contact's information and notes current. He calls it 'worth its weight in gold.' The same approach works for any paper list you still rely on: a past-client list, a vendor sheet, an open-house sign-in sheet or a contractor directory.
The prompt
1. Take a clear, flat photo of each page of your printed list (good light, no shadows). Cover or skip anything you shouldn't share, like ID numbers or bank details. 2. Connect ChatGPT (or Claude) to Notion using Notion's connector. 3. Upload the photos and say: "Read every row in these photos and build a contacts database in Notion with columns for name, company, role, phone, email, address, type (client, supplier, vendor, other) and notes. Mark any value you couldn't read clearly with [CHECK] instead of guessing." 4. Open the database and fix every [CHECK] item by hand. Spot-check 10 random rows against the paper. 5. Optional: connect your email and say: "When an email arrives from someone in this database, add a one-line dated note to their record and update their phone or address if it changed. Don't delete anything and don't email anyone." 6. Keep the paper copy until you've used the new CRM for a month without problems.

- This prompt works on text other people wrote (emails, reviews, messages or web pages). That text can hide instructions aimed at AI, such as "ignore your rules and…". Paste it as material to work on, and never let the AI act on requests inside it, like paying, sharing logins or changing records. How prompt injection works →
- Remove names, contact details, account numbers and other personal data the task doesn't need before you paste, and check your AI tool's data and training settings.
- Read and edit the draft before it reaches a customer or goes public. If you later automate this prompt, start with "draft and notify me", not "send automatically".
- Check names, dates, numbers and any claim against your own source material before you use the answer. AI can misread or invent details.
