Show landlords what you actually did for their fee: connect your AI assistant to your property management data and turn three months of logged activity into a clear landlord report in minutes: AI agent prompt

Letting Agent Today (Nov 4, 2026) reports that UK property management software COHO launched Atrium, which lets landlords and letting agents connect the AI tools they already use, such as Claude and ChatGPT, to their live COHO data, switch on ready-made apps from the Atrium Store or build private apps. Letting agent Tom Holliday of TWH Homes in North Yorkshire used Atrium to turn three months of activity recorded in COHO into a ready-to-use landlord report: “In minutes, I had a clear report showing the landlord everything we’d been doing behind the scenes to manage their property.” Every COHO customer can connect AI tools through Atrium free with a monthly usage allowance. The same idea works with an activity export from any property management system.

The prompt

1. Connect your AI assistant to your property management system if it supports it, or export the last three months of activity for one property: maintenance jobs, inspections, tenant messages, rent received, compliance certificates, and notes.
2. Ask: "Using only this data, write a landlord report for [property] for [dates]. Sections: summary in 3 lines, rent and arrears, maintenance done (date, issue, contractor, cost, status), inspections and compliance (what's due next), tenant communication highlights, and anything that needs the landlord's decision."
3. Add: "Keep it plain and factual. Don't guess or add anything not in the data; write [CHECK] where information is missing. Leave out tenants' personal details that the landlord doesn't need."
4. Read it, fix anything wrong, and add one personal line before you send it.
5. Save the prompt and run it for every landlord each quarter.
