Finish property inspections while you walk: talk through each room and take photos, then have an AI fill in the checklist, match every photo to the right item and turn each problem you mention into a work order for you to review: AI agent prompt
Typing up an inspection afterwards often takes as long as the walkthrough itself. On October 30, 2026 SnapInspect, inspection software used by property managers, home inspectors and facilities teams, announced three AI features (reported by TMCnet from its Business Wire release): AI Inspections, where the inspector describes each area out loud and takes photos while the AI fills in the checklist and matches each photo to its item; AI Work Orders, where a deficiency said out loud, or a photo of it, becomes a categorised work order ready to route; and AI Workflows, where a plain-English rule such as 'when a new inspection is created, set up a follow-up task' becomes an automation with a diagram and a run log. If the AI can't understand part of the walkthrough, the inspection stays partly complete for the inspector to finish. The release cites an IREM and AppFolio survey of 3,662 US property managers in which 58% use AI but only 8% have a written AI policy. The prompt below does the same with a phone voice memo and any AI assistant.
Who this is for
Property managers and landlords who record a walkthrough and need a report without guessing rooms they skipped.
Not for
Anyone asking the AI to invent damage that was not in the recording or photos.
What you need
The property, inspection type, a voice-memo transcript and photo file names in order.
The prompt
Turn my spoken property walkthrough into a finished inspection report and work orders. Property: [address, unit, type (e.g. 2-bed apartment, single-family home)]. Inspection type: [move-in, move-out, routine, pre-purchase]. My checklist: [paste your checklist, area by area, or say 'use a standard checklist for this inspection type']. Here is the transcript of my voice memo as I walked through: [paste transcript], and the list of photo file names in the order I took them: [paste]. 1) Fill in the checklist area by area: condition (good, fair, poor, not checked) and a one-line note, using only what I said. Where I said nothing about an item, mark it NOT CHECKED rather than guessing. 2) Match each photo to the checklist item it most likely shows, based on when it was taken in the walkthrough, and flag any you're unsure of. 3) List every problem I mentioned as a draft work order: area, issue, likely trade (plumber, electrician, handyman, cleaner), urgency (safety now, this week, routine) and notes for the contractor. 4) For a move-out, separate likely tenant damage from normal wear and tear, and say what evidence would support each. 5) List anything I should go back and check. Don't send work orders or contact anyone; give me the report and drafts to approve.
Fill in the blanks, then copy
This prompt has 4 [bracket]s to fill in. Type your details below and the prompt updates as you go. Your answers stay in this browser and are reused on other prompts with the same blanks. Nothing is sent to us.

Sample input (what you paste in)
Property: 88 River Road, Unit 4, Springfield, 2-bed apartment. Inspection type: move-out. Checklist: use a standard move-out checklist. Transcript: "Entry paint is fine. Kitchen: faucet still drips, same as last month, photo one. Fridge is clean. Hall closet shelf is cracked — photo two. Bedroom one: walls good, small nail holes. Bedroom two: carpet stain near the window, I think it's old, photo three. Bathroom: caulk around the tub is mouldy, photo four. I didn't open the balcony storage." Photos in order: IMG_01_kitchen.jpg, IMG_02_closet.jpg, IMG_03_carpet.jpg, IMG_04_tub.jpg.
Example output (illustrative)
Checklist (only what you said) - Entry / paint: good — "paint is fine." - Kitchen faucet: poor — still dripping; same as last month. - Kitchen fridge: good — "fridge is clean." - Hall closet shelf: poor — cracked. - Bedroom 1 walls: fair — small nail holes. - Bedroom 2 carpet: fair — stain near the window; you said you think it's old (note that uncertainty; do not treat it as proven new damage). - Bathroom tub caulk: poor — mouldy. - Balcony storage: NOT CHECKED — you said you did not open it. - Living room, bedrooms' ceilings, smoke detectors, remaining items: NOT CHECKED. Photo match - IMG_01_kitchen.jpg → kitchen faucet - IMG_02_closet.jpg → hall closet shelf - IMG_03_carpet.jpg → bedroom 2 carpet stain - IMG_04_tub.jpg → bathroom tub caulk None flagged as unsure given the order you listed. Draft work orders 1. Kitchen — dripping faucet — plumber — photo IMG_01 2. Hall closet — cracked shelf — handyman — photo IMG_02 3. Bedroom 2 — carpet stain (age uncertain) — [CHECK before charging] — photo IMG_03 4. Bathroom — mouldy tub caulk — handyman or cleaner — photo IMG_04 Do not charge the carpet stain to the tenant until you compare it with the move-in report.
Check before you use it: Anything you did not mention stays NOT CHECKED. Confirm the carpet stain against the move-in photos before anyone is billed.

- This prompt works on text other people wrote (emails, reviews, messages or web pages). That text can hide instructions aimed at AI, such as "ignore your rules and…". Paste it as material to work on, and never let the AI act on requests inside it, like paying, sharing logins or changing records. How prompt injection works →
- Remove names, contact details, account numbers and other personal data the task doesn't need before you paste, and check your AI tool's data and training settings.
- Read and edit the draft before it reaches a customer or goes public. If you later automate this prompt, start with "draft and notify me", not "send automatically".
- Check names, dates, numbers and any claim against your own source material before you use the answer. AI can misread or invent details.
