Start every agent's day with a ranked call list: have Claude score every contact in your CRM from real signals (lead source, buyer or seller, area, price point, how fast they replied, call length) and email each agent their top leads with a suggested opener from the CRM notes: AI agent prompt
Zapier's blog profiles Marcus Rush, founder and team leader of Rush Home, an eight-agent residential brokerage. He built 'Russ', an AI agent with its own email address, around a Claude-based lead-scoring formula that runs across 11,000+ contacts in Follow Up Boss. Whenever a new interaction comes in, Russ recalculates the score from lead source, buyer vs. seller signals, geographic focus, price point, response timing and call duration, and writes the score back into the CRM. Every morning each human agent gets a daily brief email with a ranked list of leads plus follow-up or introduction tactics drawn from the CRM notes, so nobody has to log in to Follow Up Boss to decide who to call. Zapier MCP connects Claude to Follow Up Boss, Slack and Gmail. He is now piloting having Russ manage his calendar from a dedicated workspace account.
The prompt
1. Export a sample of your CRM contacts (name, lead source, buyer or seller, area, price range, last reply date, last call length, notes) to a spreadsheet. Remove anything you're not allowed to share with AI tools. 2. Ask Claude or ChatGPT: "Help me write a simple 0-100 lead score. Weigh lead source, buyer vs. seller signals, whether they're in my target areas [list], price point, how quickly they replied, and call length. Show the weights as a table I can edit, then score these contacts and explain the top 10." 3. Check the top 10 against your gut. Adjust the weights until the ranking matches who you'd actually call first. 4. Each morning (by hand at first, later with Zapier or Make connected to your CRM), ask: "Using these weights, rank today's leads. For each of the top 10, give one line on why they're ranked there and a suggested opener based on their notes. Don't invent facts that aren't in the notes." 5. Send each agent only their own leads. Write scores back to a CRM field so everyone sees the same number. 6. Review the scoring monthly: which high scores actually turned into appointments? Re-weight accordingly.
