Build a billing and account help agent that answers only from your own price lists and policies, stays inside the topics you approve and has a spending cap: AI agent prompt

Telecom Gazette reported on Nov 4, 2026 that Orange has deployed AI agents built on Algolia's Agent Studio to handle billing and account questions across consumer and business operations in more than 26 countries. The agents answer from Orange's own billing records, tariffs, product data and internal policies rather than a model's general knowledge, each one is limited to approved subjects, and each has a cost limit. No results for the new agents had been published yet. A small business can copy the same three controls: answer only from your own documents, a written list of allowed topics, and a usage cap.

The prompt

1. Gather your current price list, plans, billing and refund policy, payment methods and the 20 billing questions customers ask most, with your real answers.
2. Put them in a support tool or assistant that answers only from your documents (a custom GPT, Claude Project, Intercom Fin, Tidio or similar) and set a monthly usage or spending limit in that tool.
3. Give it these instructions: "Answer billing and account questions only from the attached documents. Allowed topics: prices, plans, invoices, payment methods, refunds under the written policy. For anything else, or if the documents don't answer it, say you'll pass it to a person and collect the customer's name, email and question. Never promise credits, discounts or refunds outside the policy, and never ask for full card numbers or passwords."
4. Test it with 15 real past questions plus 5 off-topic or tricky ones, and fix the documents where it got something wrong.
5. Review a sample of conversations every week and add new answers to the documents.
