Let an AI receptionist answer your tenants' texts from their actual lease, balance and open work orders: write the house rules it follows, and the cases it must hand to you with the history attached: AI agent prompt
Every tenant text about a late fee, a repair update or a lease renewal date turns into another task for a property manager, and many arrive at night or on weekends. On Oct 29, 2026 DoorLoop, which calls itself agentic property management software, made its Receptionist Agent available to customers on its Connect and Multiply plans, unveiled at the NARPM Annual Convention in Las Vegas. It handles tenant SMS and portal messages around the clock (voice and email are coming soon), answers from lease terms, account balances, property information and open work orders, follows each company's own policies on things like late fees, pet restrictions and maintenance responsibilities, replies in the tenant's preferred language with an English translation for the manager, and escalates sensitive, exceptional or out-of-policy requests with the conversation history, records and reason attached. DoorLoop says every agent action is logged in plain language, can be walked back from that log (messages already sent stay sent), and starts by asking for approval before it acts, with operators deciding how much autonomy each agent earns. The prompt below writes the rulebook such an assistant needs, whichever software you use.
Who this is for
Property managers who want written rules for an assistant that answers tenant texts.
Not for
Anyone who would let an assistant waive fees, handle harassment, or decide accommodations on its own.
What you need
Your real policies on rent, repairs, pets, renewals and what must be handed to you.
The prompt
Help me write the rulebook for an AI assistant that will answer my tenants' texts and portal messages. I manage [number] units in [city/region], using [property management software]. Tenants usually ask about: [e.g. late fees, rent balance, repair status, lease renewal dates, parking, pets]. 1) Ask me for my actual policies on each topic (late fee amount and grace period, pet rules, who pays for which repairs, renewal notice period, quiet hours) and turn them into short, plain rules the assistant must quote, not improvise. 2) List the facts it should look up before replying (lease terms, current balance, open work orders) and say what it should do if a record is missing or looks wrong. 3) Write the escalation list: messages it must never answer alone (e.g. disputes, legal threats, harassment, emergencies like gas or flooding, fee waiver requests, anything about discrimination or accessibility) and the hand-off note format (tenant, unit, summary, records checked, reason). 4) Set the approval levels: what it may send on its own from day one, what it drafts for my yes, and what would make me pull back its autonomy. 5) Write 3 sample replies, one in [second language], and 5 test messages I can send to check it follows the rules. Keep tenant replies short and polite.

Sample input (what you paste in)
I manage 18 units in Springfield, using a rent spreadsheet and email (no large PM platform). Tenants usually ask about: late fees, rent balance, repair status, lease renewal dates, parking, pets. Policies: late fee $50 after the 5th of the month; cats allowed with a written pet addendum and deposit as stated in the lease; dogs only with written approval; owner pays normal wear-and-tear repairs; tenant pays damage they caused; renewal notice 90 days before lease end; quiet hours 10 p.m.–8 a.m. Second language for one sample reply: Spanish.
Example output (illustrative)
Rules the assistant must quote, not invent - Late fee: $50 after the 5th, as written in the lease. Look up the ledger before quoting a balance. - Pets: cats need the written addendum and the deposit in the lease; dogs need written approval. If the lease is silent or the file is missing, say you will check and hand it to me. - Repairs: wear and tear → owner; damage caused by the tenant → tenant, if the lease says so. Emergencies (gas smell, flooding, no heat in winter, no water, electrical hazard) escalate immediately. - Renewals: remind the tenant of the 90-day notice in their lease; do not negotiate rent. - Quiet hours: 10 p.m. to 8 a.m., as written. Facts to look up first: lease clauses, current balance, open work orders, pet addendum. If a record is missing or looks wrong, say so and hand it to me — do not guess. Must never answer alone: legal threats, harassment, discrimination or accessibility requests, fee waiver requests, disputes about who owes what, and emergencies (tell them to leave and call emergency services for gas or fire, then page me). Hand-off note: tenant, unit, summary, records checked, why it came to me. Approval levels - May send on its own: office hours, how to submit a repair, a copied late-fee clause plus the ledger balance I already verified. - Draft for my yes: anything that names a dollar amount I have not just confirmed, renewal wording, pet questions. - Pull back autonomy if: it invents a policy, a tenant is upset, or anything on the escalation list appears. Sample replies English, repair status: "Hi, I checked your file for Unit 4. Work order #182 (kitchen faucet) is marked scheduled. I will update you when the vendor confirms a window. If water is leaking onto the floor, please say so and I will escalate." English, late fee: "Hi, per your lease a $50 late fee applies after the 5th. I see this month's rent marked posted on the 7th, so the fee appears on the ledger. If that looks wrong, I will have Jordan review it." Spanish: "Hola, según su contrato, después del día 5 se aplica un recargo de $50. Veo el alquiler de este mes registrado el día 7, así que el recargo aparece en el estado de cuenta. Si algo no coincide, Jordan lo revisará." Test messages 1. "How much do I owe if I pay on the 8th?" 2. "My faucet is dripping." 3. "I want to waive the late fee." 4. "I smell gas." 5. "Can my cousin's dog stay for a month?"
Check before you use it: The assistant must quote your written rules. Fee waivers, emergencies, legal threats and accessibility requests come to you with the file attached.

Before you use it: what to check
Check yourself
- Check every figure, price and total against your own records before anything is sent, posted or booked. A person approves refunds, discounts, payments and price changes.
- Anything legal, tax or compliance-related is a first draft for a qualified person to check. It is not professional advice, and clause references and deadlines must be checked against the source.
- Remove names, contact details, account numbers and other personal data the task doesn't need before you paste, and check your AI tool's data and training settings.
- Read and edit the draft before it reaches a customer or goes public. If you later automate this prompt, start with "draft and notify me", not "send automatically".
