Fix the easy repairs before anyone rolls a truck: have an AI ask your tenant the right follow-up questions, walk them through safe simple fixes, and send you a clear summary with photos and urgency only when a pro is needed: AI agent prompt
A late-night 'something's broken' text usually hands a small landlord a problem with no details. On Oct 19-20, 2026, RentSpree released Rental Assistant, an AI maintenance assistant included with its Landlord PRO plan. Its example: a tenant reports a leak under the kitchen sink and the assistant asks where the water is coming from, whether it's a drip or a stream and whether the dishwasher was running, walks the tenant through shutting off the water, and gets a photo. If a simple fix like tightening a loose connection works, the repair ends there; if not, the landlord gets a summary of what's wrong and how urgent it is, and can approve a vetted pro from Lula (in ZIP codes Lula serves), compare local pros from Thumbtack, or call their own plumber. Nothing is booked, dispatched or paid for without the landlord's okay, and for safety issues like a gas smell it tells the tenant to get safe and call 911. Landlords on other tools can set up the same first-response script with any AI chat assistant.
The prompt
1. List your rental's common repairs and what a tenant can safely try themselves (reset a breaker, check the thermostat batteries, shut off the water under a sink, plunge a toilet). Also list what they must never attempt (gas, electrical panels, anything on a ladder or roof). 2. Ask your AI: "For each repair, write 3-5 follow-up questions that would tell a landlord what's wrong and how urgent it is, plus the safe steps a tenant can try, in plain language. Mark anything that could be unsafe as [CHECK]." 3. Add your emergency rules at the top: "If the tenant mentions gas, smoke, sparks, flooding or anyone being hurt, tell them to get safe and call 911 (or the gas company) first, then alert me immediately." 4. When a request comes in, paste the tenant's message and ask: "Using my repair guide, draft the reply with the right questions. After their answers, tell me: likely cause, urgency (emergency / today / this week), what they already tried, and the photos I still need." 5. Review each reply before it goes, decide yourself whether to send a pro and who, and keep the summary and photos on the property's record for insurance, disputes and deposit questions. Have a qualified pro check your safe-steps list once.
