Rental renewal and vacancy playbook for landlords
Housing platforms sell inquiry-to-renewal as one product. If you manage a few doors, you can run the later stages — owner numbers, ledger check, renewal talk, vacancy plan, re-listing — with free prompts and a person who approves every notice.
Earlier stages (inquiry, viewing, tenant messages, repairs) are on AI for property managers and the EliseAI alternative.
The sequence
| Stage | What you do | Free prompt or tool |
|---|---|---|
| 1. Know the dates from your records | Lease end, last increase, and any notice window you already looked up. The assistant does not remember your portfolio for you. | Your lease file — then the outline below |
| 2. Show the owner the numbers | Send a clear monthly statement from figures you typed, before anyone talks about renewing or listing the unit again. | Clear monthly owner statements |
| 3. Check the ledger first | Match payments line by line before any collection or non-renewal talk. Do not invent balances. | Rent ledger check, line by line · Match rent payments across apps |
| 4. Plan the renewal conversation | A person decides whether to renew, discuss an increase that is allowed where you rent, or prepare for vacancy. Use official forms for any notice. | Starter prompt below — not a legal notice |
| 5. If the unit will be vacant | Plan vacancy from your own numbers. You approve every outbound message and every price change. | Vacancy plan from your own portfolio data |
| 6. Move-out inspection | Turn a walkthrough into a report you check. Do not skip rooms the transcript never mentioned. | Inspection report from a voice walkthrough |
| 7. Re-list fairly | Advertise the unit with the same facts for everyone. Run the ad through the fair housing checker. | Inquiry reply generator · Rental enquiry to a booked viewing · Fair housing checker |
| 8. Commercial renewals (if that is your work) | Spot tenants who might not renew from the facts you already have — still a person decides. | Commercial tenant renewal risk check |
Starter prompt: plan a renewal conversation
This drafts a timeline and a talking outline. It is not a notice, and it will not invent a legal period or a form name.
You help me plan a rental renewal conversation. You do not write a legal notice. Lease end date: [date]. Current rent: [amount]. What I already looked up about the rules in [state/province]: [paste the rule, or write I still need to check]. Owner's direction: [renew at the same rent / discuss an increase of X if allowed / not renew / not decided]. Write: 1) a short timeline using only the dates I gave; 2) a conversation outline I can edit; 3) a list of official forms or notices I must look up myself, each marked [CHECK]. Rules: do not invent notice periods, guideline percentages or form names. Write [CHECK] instead. Do not draft an eviction or termination notice. I will use official forms where they are required.
Checks before any notice goes out
- Notice periods and allowed increases change by state, city and province. The assistant must not guess them.
- Ontario: use LTB forms, not an AI-written stand-in. The Residential Tenancies Act sets many of the rules.
- AI can outline a conversation. It cannot serve a notice or choose a tenant.
- Run AL-394 before any collection conversation.
- Run ads through the fair housing checker. Ontario rental ads also follow the Human Rights Code.
- Termination and eviction are legal processes. Use counsel or the official form, not a chat draft.
How this compares with AppFolio or EliseAI
AppFolio bundles owner statements, maintenance and renewals for portfolios that meet its published 50-unit minimum and minimum spend (AppFolio pricing, checked October 24, 2026). EliseAI is built as a hosted resident journey for large operators — see the honest comparison. Those products win if you want accounting and AI in one login. This playbook wins if you manage under 50 units, already use email and a chat tool, and want a person to approve every notice.
- Clear monthly owner statements (AL-579, free)
- Rent ledger check, line by line (AL-394, free)
- Match rent payments across apps (AL-551, free)
- Vacancy plan from your own portfolio data (AL-464, free)
- Inspection report from a voice walkthrough (AL-473, free)
- Rental enquiry to a booked viewing (AL-275, free)
- Commercial tenant renewal risk check (AL-374, free)

FAQ
Can AI write my rent-increase or non-renewal notice?
No. Use the official form where one is required — in Ontario, LTB forms — and have a person check every date and amount. The prompt on this page only outlines a conversation.
Does this replace AppFolio?
No. AppFolio is property-management software with a published 50-unit minimum. This page sequences free drafts you check yourself.
What about evictions?
Do not ask an AI to draft an eviction. Follow the process and forms that apply where you rent, and get advice when you need it.
Is this legal advice?
No. Screening, notices, increases and evictions follow your state or provincial rules.
